Booking Terms & Conditions

Thank you for choosing to book with Summerbreeze Orchard Holiday Cottages and we look forward to welcoming you.

This agreement outlines information you need to know prior to booking.

Our Agreement

A contract (our agreement) is formed when we receive the required payment. Our agreement incorporates information provided on our website, the confirmation, and this agreement.

Our agreement with you binds you, (the person named on the confirmation), and all members of your party, including children and any day visitors. You must ensure that all members of your party are aware of, and accept all of this agreement. Our agreement continues until the last member of your party has left, including any extension to your stay and for such time afterwards as may be necessary.

1. Booking

Please read this agreement thoroughly.

  • You must be 18 years of age or over to make a booking.
  • Full payment by credit or debit card is required at the time of making your reservation.
  • On receipt of full payment, your booking is confirmed
  • Please check the details at the time of booking carefully
  • Our prices fluctuate (via automated software) based on demand and are therefore subject to change, up or down.
  • The price paid is for accommodation only, and does not include any other facilities or activities

1.7      Accuracy and Images. Whilst we do our best to ensure that our website is accurate, all images on our website and in other promotional material, are for illustrative purposes only.

2. VAT

All prices include VAT at the prevailing price. We reserve the right to change prices in line with any change in VAT or any other dues or fees levied on your break. We will not change any price within 30 days of our holiday arrival date.

3. Additional Charges – These are outlined at the time of booking.

3.1      Cleaning Fee – £25 per stay.

3.2      Pet Fee – £50 per stay.

(Please note, we have selected accommodation that accepts dogs)

4. Cancellation policy

4.1      Full refund for bookings made within 24 hours of booking.

4.2      50% refund up until 30 days prior to Arrival

We recommend taking holiday cancelation insurance.

4.3      We have the right to cancel any booking for breach of any terms in this agreement.

4.4      We have the right, at our discretion, to refuse any reservation.

4.5      Where we have indicated that we will not accept a booking, we reserve the right to cancel any booking you may have made. If we do so we will refund any payment made but will not pay any compensation. We have the right to cancel your booking, or to instruct you or your party to leave immediately, without compensation or refund, should you or any of your party not comply with this agreement, particularly terms relating to behaviour and conduct.

5. Under 18 years old, Supervision

5.1      Any party member under 18 or includes any person(s) who are normally closely supervised, there must be sufficient capable and responsible adults over the age of 18, in every accommodation unit to provide adequate supervision for the party and each member of it.

5.2      There must be at least one capable and responsible adult over the age of 18 in every accommodation unit.

5.3      You are responsible for the supervision of all members or your party under the age of 18. This is particularly important in all children’s play areas, in or out of the accommodation.  Children’s activities are unsupervised.

5.4      Safeguarding. It is our policy to investigate any incident or allegation of concern or assist any proper enquiries about a child in the holiday accommodation, and to refer the matter to an appropriate external authority should we consider it necessary/appropriate.

6. Special requirements and disabilities

6.1      We welcome guests with restricted mobility, a disability, medical or care requirements. We aim to ensure that we are as accessible as reasonably possible, so it is important that we are appraised of any needs, requirements and conditions prior to any booking. A risk assessment might be required prior to confirming a booking or allowing participation in certain activities.

7. Information about your party & Security

7.1      We have the right to obtain the name, date of birth, address and gender of each member of your party before confirming your booking or at any time.

7.2      You (the booker) must be a member of your party unless we agree otherwise. Failure to provide us with full details of the make up of your party prior to your arrival may result in access being denied. We want to maintain a safe and secure environment for you and your family and may ask for identification at any time and/or proof of address.

7.3      We do not allow anyone to book our accommodation who is a convicted child sex offender or subject to the notification requirements of the Sexual Offences Act 2003, or subject to a Sexual Risk Order or Child Abduction Notice.

7.4      We reserve the right to conduct security searches, as a condition of entry, to any of our accommodation. This can include security searches of clothing, bags and vehicles, as determined by us in our reasonable discretion, including on entry, anytime during your stay and exit.

8. Smoking Policy

Smoking (including e-cigarettes and vaping) is not permitted inside any of the accommodation.  It is permitted outside but please use the flowerpots provided for cigarette butts.

9. Gifts, Prizes or Promotions

9.1      You may not resell your break or any promotional discount.

Our aim is to provide a relaxed holiday break to everyone.
10. Behaviour and compliance with this agreement

10.1 You are responsible for the behaviour of all members of your party. Behaviour should be in keeping with the family environment and should not be aggressive, excessive, noisy or disruptive, especially at night. Offensive or illegal behaviour will not be tolerated and will result in the police being involved. Offensive or aggressive behaviour or language is not acceptable. We may ask you or any member of your party to leave immediately if your conduct is inappropriate; likely to cause harm; or impair the enjoyment, comfort or safety of anyone; or is likely, in our belief, to breach any of this agreement. No refunds or compensation will be given in these circumstances and we reserve the right not to accept any future bookings from you or any member of your party.

11. Facilities and activities

  • All facilities and activities (including those contained within the price of your break) are subject to availability.
  • We operate a “first come-first served” policy so we cannot guarantee that you will be able to use a particular facility/activity for a specific time or at all.
  • We will not pay compensation where facilities/activities are unavailable or fully booked.
  • You must ensure that any activity or facility selected by any member of your party is suitable for those who are taking part.
  • You must arrange supervision for children under 12 taking part in activities or using facilities.


12. Security of your property

  • Your personal belongings are your responsibility during your break with us.
  • Vehicles parked on our property are parked at your own risk. You must lock your vehicle securely and remove all valuable items on parking.
  • Please ensure bicycles are locked when not in use. We accept no liability for any accident, loss or damage to your property.
  • We will offer to assist you in tracing lost items.

13. Accommodation

13.1    You must use your accommodation and its contents with care and leave it in a clean and tidy condition on departure.

13.2    We reserve the right to charge you for any extra cleaning, missing items or damage.

13.3    We reserve the right to enter your accommodation at any time for any reasonable purpose, for example, to make checks, maintenance work, water leaks or housekeeping. Your occupation is not exclusive.

13.4    The members of your party and the allocation of guests in each accommodation unit must remain the same for the whole of your stay.

13.5    The maximum number of guests in each accommodation type (as stated on our website) must not be exceeded. If it is, we may move those additional persons to another accommodation unit and will charge you or them the appropriate full charge for the additional accommodation, from the date of arrival.

14. Wireless facilities

14.1    The internet is not guaranteed and is subject to third party terms and conditions. The facility is not subject to any particular security, and only has limited filtering measures and requires continuous parental supervision when used by children.

14.2    We reserve the right to disclose your name and address to our internet service provider if we discover that you or a member of your party illegally downloaded content from the internet or otherwise engaged in unlawful activity whilst using this facility.

15. Safety

  • Barbecues are not permitted in the accommodation, or at all during periods when risk of forest fire has been notified. The use of gas barbecues is prohibited.
  • Take particular care not to do anything which might cause a fire, dispose of cigarettes and barbecues responsibly.
  • No Fireworks may be used at any time of the year.
  • All vehicles should be parked in specified areas. Vehicular access is required for emergency services and contractor vehicles.


16. Natural inhabitants

16.1    Some of our holiday accommodation is in a forest setting that is the natural habitat of a variety of native creatures such as snakes, insects, spiders, ticks, rodents, lizards, deer and domestic animals chickens and rabbits.

17. Dogs/Pets

17.1          Dogs must be kept on a lead at all times when outside your accommodation.

  • We do not accept any dogs listed under the Dangerous Dogs Act.
  • Each dog has a current annual vaccination for distemper, canine hepatitis, leptospirosis and parvo virus.
  • Each dog is properly supervised, is not dangerous and does not cause a nuisance or threat to anyone.
  • If we, in our sole and reasonable discretion, consider your dog to be dangerous or to be causing a nuisance, harm or threat to anyone, or to be likely to do so, we may ask you to remove it (without refund or compensation) or have it removed to kennels at your expense. No other pets are permitted.

18. Dangerous items

18.1    No shotgun, knife, firearm, air weapon, archery equipment, fireworks (including sparklers), illegal substances or similar item may be brought with you or your party.

19. Arrival & Departure

19.1   You can arrive from 4pm onwards. Self-check in.

19.2   You must vacate your accommodation by 10am.

19.3    Please return your key to the key safe as you leave.

19.4    You are welcome to continue to enjoy the facilities after 10am or, leave your vehicle on site throughout your day of departure.

20. Beyond our control

20.1    We cannot take responsibility or pay compensation if we cancel or change your booking in any way because of events beyond our control. Neither can we accept any liability for any injury, loss or damage you suffer because of events beyond our control. Events beyond our control include, but are not limited to, fire, flood, explosion, storm or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, epidemics and pandemics, adverse weather conditions, war or threat of war, actual or threatened terrorist activity and unavoidable technical problems.

20.2    If you cannot travel to your chosen accommodation, due to adverse weather, we will do our best to move your booking to an alternative date, but refunds will not be provided. If your new break is more expensive, you will be required to pay any additional cost.

20.3    In exceptional circumstances, we may need to cancel your booking. If this happens we will advise you as soon as possible and offer one of the below options.

  • A replacement break to the same value as the one you booked. If your new break is more expensive, you will be required to pay any additional cost. If your new break is less expensive, we will refund the difference.
  •   A full refund. If we issue you with a refund, we will return your money to the last payment card used on the booking.
  •   In all cases, except personal injury or death, our liability to you for the total of all claims arising out of your break with us is limited to the cost of your booking less any cancellation, amendment or separate charges.

23. Legal

23.1    Jurisdiction. This agreement and any dispute between us will be governed by and construed in accordance with the laws of England and Wales. You agree to submit to the exclusive jurisdiction of the Courts of England and Wales over any matter arising out of our agreement or your visit.

23.2    Tenancy, Lease or Rights Your stay will not give rise to any tenancy agreement, Lease or any type of rights to the accommodation between us.

23.3    This Agreement. Should any part of our agreement be deemed by law to be void, the remainder of this agreement will, if capable, continue in full force and effect. The headings in this agreement are included for convenience only and shall not affect its interpretation or construction.

23.4    Liability. We do not accept liability for any damage, loss or injury to any member of your party or any vehicles or possessions.

24. Data Protection.

All personal information we collect and hold about you and members of your party will be used in accordance with our privacy policy, available on our website.
